What's Your Real Processing Rate? How to Read Your Merchant Statement

Most business owners don't know their effective processing rate. Here's how to find it on your statement — and how it compares to Square's published pricing.

Ask a business owner what they pay to accept cards and most will quote the rate a salesperson gave them years ago. Ask their statement, and it usually tells a different story. Here’s the five-minute exercise we walk every new client through.

Find Your Effective Rate

Take last month’s processing statement and find two numbers: total fees charged and total volume processed. Divide fees by volume, multiply by 100. That’s your effective rate — the only number that matters.

Total fees ÷ total volume × 100 = your real rate

Quoted rates hide things. Effective rates don’t: statement fees, PCI fees, batch fees, monthly minimums, and “non-qualified” surcharges all land in that one honest number. Legacy processors quoting “1.79%” routinely produce effective rates north of 3.5%.

Compare It to Published Pricing

Square publishes its pricing for anyone to read: 2.6% + 15¢ per in-person transaction on the free plan, with no statement fees, PCI fees, or monthly minimums. Because there are no hidden line items, the effective rate is genuinely close to the published one — the gap between quoted and real is the whole trick, and flat published pricing removes it.

Watch for These on Your Statement

  • Monthly/annual fees: statement fees, PCI compliance fees, “regulatory” fees
  • Non-qualified downgrades: transactions quietly billed at a much higher tier
  • Equipment leases: often costing more per year than the hardware is worth — new Process King clients get equipment free
  • Early termination clauses: know what leaving costs before you decide it’s not worth it (we’ve helped many businesses do that math)
